- Confirm whether a full or simplified tax invoice is permitted.
- Check the underlying supply and VAT treatment before the layout.
- Keep the issued invoice and a clear correction trail.
Should this be a tax invoice?
Start with your registration and the supply you are making. Do not add VAT or a tax registration number simply because a customer asks for a “VAT invoice”. If your registration position is unclear, resolve it through the VAT registration checks before using a tax invoice template.
The FTA distinguishes full and simplified tax invoices. A simplified format has conditions; being a small company does not automatically make it the correct choice.
What belongs on a standard full invoice?
The FTA’s tax invoice checklist identifies the core fields. Use it with the current rules for your transaction.
- The words “tax invoice” and an identifiable sequential or unique invoice number.
- Issue date and the date of supply where different.
- Supplier name, address and tax registration number.
- Recipient name, address and registration number where required.
- Clear goods or services descriptions, quantities, unit prices and applicable VAT rates.
- Relevant discounts, totals and tax amounts, including the required amounts in UAE dirhams.
Check the supply before checking the design
Ask what was supplied, when and to whom. Overseas customers, advances, refunds and mixed supplies can need a more careful review. Never assume every invoice carries the same VAT treatment because the last one did.
For example, a consultancy billing a project milestone should make the description and supply date understandable from its records. That is an illustrative workflow, not a ruling on the tax treatment of a particular contract.
Make corrections traceable
Agree a correction procedure with your accountant. Avoid silently overwriting an issued invoice in a shared folder. Keep the original, the reason for the change and the appropriate replacement or credit-note trail. A neat sequence helps both sides reconcile their books.
Can software do this for you?
Software can populate fields and calculate totals, but it needs correct company data and tax settings. Review the first template and sample transactions before relying on automation. Separately, assess e-invoicing readiness: a PDF generated by accounting software is not, by itself, the full structured exchange process.
