- Check your governing authority and the current wage due-date rules.
- Validate employee and payment data before the first payroll run.
- Keep approval, payment and exception records together.
Which payroll rules govern your company?
Identify the employment authority first. MOHRE registration, free zone administration and the rules of financial free zones should not be treated as interchangeable. Ask your authority to confirm the payment system that applies to your establishment and workers.
The UAE Government’s current wage-payment guidance explains the 2026 WPS framework. For the covered MOHRE establishments, it states that the previous month’s salaries are due on the first day of each Gregorian month. Do not build a payroll calendar around an older guide’s grace period.
Arrange the payment channel early
MOHRE’s employer guidance describes using an approved bank, exchange company or financial institution providing WPS services. Confirm onboarding documents, file requirements, processing cut-offs, funding and support contacts with the actual provider. Provider setup and employee onboarding need to meet in one working process.
Ask who will see a rejected record and how it will be corrected. A payment file prepared on time is not the same as a successful payment.
Run a small readiness check
- Match each worker to the approved contract and required identifiers.
- Validate payment details through a secure process.
- Check the pay period and authorised adjustments with payroll.
- Assign the approver and funding deadline.
- Confirm how successful payments and exceptions will be recorded.
Separate preparation from approval
Even a small team benefits from one person preparing payroll and another checking it. If the founder does both, use a written review list and compare the total with the previous run. Keep sensitive salary details accessible only to the people who need them.
Build in a check for starters, leavers and approved changes. A copied spreadsheet can carry last month’s assumptions forward long after they stop being correct.
Save the result, not only the instruction
Retain the payroll calculation, approval and provider confirmation, plus the resolution of any rejected items. Reconcile the amounts to the company’s accounting records. For broader hiring preparations, use the first-employee checklist; for disputes or unusual deductions, get advice on the specific employment rules rather than improvising a workaround.
